Organization Summary:

Juxtaposition Arts (JXTA), founded in 1995, is a youth-focused visual art and design non-profit based in North Minneapolis, Minnesota. It began as an arts enrichment workshop for 15 youth in a public housing community and today is a thriving cultural center that employs 100 people annually, including 70 youth. JXTA has grown from conducting its afterschool visual art programs out of a small leased space into operating out of multiple buildings (owned and leased), on a commercial corridor. In addition to its art education and community development work, JXTA’s core strategic focus is to scale JXTALabs, the organization’s social enterprise ventures that have grown 250% since opening five years ago. JXTALabs employ youth 14-21 years old in year-round part-time jobs as apprentices in: graphic design, textile/screen-printing, urban design, and contemporary art. Youth apprentices work side by side with professional artists and designers and generate revenue to support the businesses by producing logos, apparel, paintings, public art, as well as providing community engagement services for clients.  The organization’s current team of twenty full-time, part-time and contract artists and staff work with 70 youth employees, 40 partners, more than 3,000 students, and 10,000 audience members annually. www.juxtapositionarts.org.

Job Type: Full Time Salary: $55-65K DOQ
Hours: 40/week 
 

Primary Duties:

 Executive Assistant: 50%

  • Support the daily needs of the Chief Executive Officer (CEO) and Chief Cultural Producer (CCP) meetings, calendar management (scheduling), and communications with internal and external stakeholders. 
  • Assist CEO and CCP in projects and tasks.
  • Serve as the first point for contact for internal and external staff for CEO and CCP.
  • Meeting prep including researching, topics, individuals/organizations and providing information prior to CEO/CCP.
  • Assist in new employee hiring and on-boarding.
  • External customer service via incoming phone calls.
  • Responsibility for board packet and notes development and distribution.
  • Support CEO and CCP meeting needs including monitoring meeting deadlines and needs anticipating what is needed and when.
  • Support CEO and CCP with communications and tasks with staff.
  • Assist CEO in the development of agenda and materials for All Team meetings.
  • Plan, facilitate, and trip plans and resources for travel arrangements for the CEO and CCP.
  • Filing and documentation management.
  • Maintain phone numbers for staff and system.
 
Board Support: 20%
  • Work with CEO and Board Chair to ensure successful board meetings.
  • Maintain board and board committee calendar.
  • Prep board packets and on-time distribution to board members.
    • Ensure and coordinate monthly Board sub-committee reports are drafted and prepped for board packet.
    • Pull and organize financial reports for board meetings.
    • Work with CEO and Chair to draft agenda
    • Edit and seek revisions to previous meeting minutes from Board Chair and CEO.
  • Learn and support consensus-based decision-making and meeting minutes for Board meetings.
  • Work with the Executive Catalyst to support board meeting days and ensure meetings are prepped and set-up.
  • Support board members as outlined by CEO.
 
Finance (10%)
  • Support CEO with any payroll and accounting documentation.
  • Submit and track CEO and CCP expenses and receipts.
  • Additional organizational accounts payable and receivable support as needed

 

Other Duties as Assigned (10%)

  • Event support some evenings and weekends.
  • Attend Operations, Lab and All Team meetings.
 

Experience:

Required Qualifications and Skills:
  • Successful skills and experience working with a diverse team in a diverse community.
  • Strong interpersonal verbal and written communication.
  • Positive and team-oriented attitude and approach to work is a must.
  • Advanced and proficient computer skills including MS Office and specifically: Outlook, Word, Excel.
  • Proven experience prioritizing and managing several projects and tasks.
  • Strong drive to complete tasks and ability to coordinate others toward goals.
  • Experience working with financial documents and reports.
  • Bookkeeping, and experience with QuickBooks is a plus but not required.
  • Minimum of 5 years’ experience as an executive assistant or combined equivalent experience and education (related associated or BA degree) + at least 2 years professional experience.
