Primary Duties:

 Position Summary and Skills:

The Annual Fund and Communications Coordinator is responsible for supporting the overall efforts of fund development, especially in the $1-$999 gift range, through event management, donor cultivation, tracking of donations, and marketing and communications and for the organization.  The Annual Fund and Communications Coordinator must have the ability to multi-task well and perform a variety of duties in several areas of the business.  Organization and attention to detail are vital to this position, along with excellent writing skills and strength in communication and relationship building both externally and internally.  The Annual Fund and Communications Coordinator will play a key role in driving our success through successful events, fundraising, effective communications and data entry, and will have 3-5 years of experience working in event planning, fundraising, and/or public relations.

 

Essential Functions:

 

Events

·         Manage and coordinate logistics for annual Shine Celebration and spring luncheon

  • Generate and send invitations, coordinate mailing lists, manage registration and guest lists
  • Assist in planning events, including Silent and Live Auctions, and managing online bidding platform
  • Identify and solicit potential partners and sponsorships for events
  • Coordinate with multiple vendors

 

Individual Donor Solicitations and Reporting

  • Cultivate donors in the $1-$999 range
  • Create and implement a direct mail solicitation plan with 3-4 mailings each year to increase gifts and pledges
  • Oversee creation of print materials (brochures, pledge cards, etc.) to further fundraising effectiveness
  • Develop and execute solicitation follow up plans including thank you calls, updating thank you letters regularly, pledge reminders and other techniques to optimize giving and pledge fulfillment rates
  • Generate regular reports to review effectiveness of appeals

 

Prospect Development and Research

  • Collaborate with Way to Grow staff to identify prospects and retain database information
  • Conduct prospect research through available online tools and foundation 990s

 

Operations and Technical Support

  • Perform accurate and ongoing gift entry to maintain integrity in the donor database (Bloomerang)
  • Generate reports in donor database to support fund development goals and strategies
  • Work with data team to ensure effectiveness of Way to Grow’s data and reporting

 

Print & Digital Communications

·         Manage print and online communications including writing and copyediting, producing mailing lists, setting production schedules, and managing vendor relationships effectively

·         Work closely with graphic designer on material production

·         Maintain communications calendar to ensure deadlines are met

·         Support website updates

·         Plan online campaign for Give to the Max Day and others as assigned

·         Track and analyze effectiveness of print and digital communications and social media

 

Professional Development

  • Enhance development skills through classes and seminars in fundraising, marketing, etc.
  • Build on professional networks through active membership in professional association
  • Assume other duties as assigned

Experience:

 

Education

  • Bachelor’s degree or equivalent

 

Essential Qualifications:

  • 3-5 years of experience working in event planning and fundraising
  • Experience with donor databases
  • Detailed and organized
  • Professionalism and ability to work both independently and in a team environment
  • Capacity and flexibility to track and maintain multiple projects
  • Discretion in maintaining complete confidentiality with sensitive information
  • Ability to work harmoniously with diverse populations, culturally competent
  • Thorough knowledge and experience with Microsoft Word, Excel, PowerPoint and Outlook
